Privacy Policy
Last updated: October 18, 2026
The short version
- ClockBelt keeps time, job and pay records for contractors and their crews. We collect what is needed to do that, and nothing for advertising.
- Your location is recorded only at the moment you clock in or out, while the app is open. Never in the background. You can say no and still clock in.
- We don't sell your information, show ads, or use analytics or tracking tools.
- You can delete your account in the app (More → Delete my account) or by following the steps on our account deletion page.
1. Who we are
ClockBelt is a jobsite time clock, timesheet, job costing and payroll-prep service for small contractors. It is operated by TradeOps LLC, a Missouri limited liability company ("TradeOps," "we," "us"). This policy covers the ClockBelt website at https://clockbelt.com and the ClockBelt apps for iPhone and Android. ClockBelt is run from the United States, and your information is stored there.
Your employer and us
ClockBelt is used by businesses. A business owner creates a company account, and employees join that company. The company (your employer) decides what information about its employees goes into ClockBelt, such as pay rates and approved hours, and is responsible for it. We store and process that information on the company's behalf, to provide the service.
If you're an employee and have a question about your hours, pay or other work records, please ask your employer first. You can also contact us at any time.
2. What we collect
Account information
- Your name, username and role in the company (owner, foreman or worker).
- Your phone number, if you choose to add it.
- Your PIN. We store it only as a salted scrypt hash, a one-way scrambled form. Nobody can read your PIN from it, including us.
Pay information
Your pay rate and withholding percentages, which the company owner enters, and the pay stubs, bonuses and reimbursements recorded for you.
Time records
Your clock-in and clock-out times, the jobsite and job phase, any notes you add, and the edit history of each entry (who changed it and when).
Location at clock-in and clock-out
Your phone's precise location at the moment you clock in or clock out, if you allow it. See section 4.
Job and business records
Information the company owner enters to run the business: job names, customer names, addresses and phone numbers, contract amounts, expenses, payments and job phases.
Device and technical information
- A push-notification token for your device, used to send reminders. See section 5.
- A session cookie or sign-in token that keeps you signed in. It is strictly necessary for the service to work. We don't use advertising or analytics cookies.
- Basic server logs (IP address, time and the request made), used for security and troubleshooting.
Payments by company owners
Company owners pay for ClockBelt on our website. Payments are processed by Stripe. Card details go directly to Stripe and are never stored by ClockBelt.
What we don't collect
- No ads, no advertising IDs, and no analytics or tracking tools.
- No access to your contacts, photos, microphone or camera.
- No health data.
- If you turn on Face ID or fingerprint unlock, your phone checks your face or fingerprint itself. ClockBelt never receives your biometric data.
3. How we use it
- To run ClockBelt: sign you in, record your time, and show hours, timesheets, pay stubs and job costs.
- To let your employer review, correct and approve hours.
- To send the reminders described in section 5.
- To create the exports and connections the company owner asks for, such as QuickBooks files.
- To keep the service secure, prevent misuse and fix problems.
- To answer questions and support requests.
- To meet legal obligations.
We may use aggregated, de-identified information (for example, the total number of punches recorded each day) to run and improve ClockBelt. It doesn't identify you or your company.
We don't sell personal information, use it for advertising, or build advertising profiles.
4. Location
- When you clock in or clock out, the app asks your phone for its location at that moment. This happens only while the app is open. ClockBelt never tracks your location in the background or between punches.
- Your employer sees the location next to that punch, for example to confirm you clocked in at the jobsite.
- Location is optional. If you decline, or turn off location for ClockBelt in your phone's settings, your punch still works. It is simply saved without a location.
- A location is kept as part of the time record it belongs to. See section 7.
5. Notifications
If you allow notifications, your phone gives ClockBelt a push-notification token. We use it only to send reminders, for example when you forgot to clock out, when it's time to clock back in from lunch, when punches are missing, or when it's time to submit your hours.
Notifications are delivered through Google Firebase Cloud Messaging and the Apple Push Notification service. You can turn reminders off in the app, or turn off notifications for ClockBelt in your phone's settings.
6. Who we share it with
Inside your company
Your employer can see your account details, time records (including punch locations), notes and pay records. What other people in your company can see depends on their role (owner, foreman or worker).
Service providers
We use a small number of companies to run ClockBelt. They process information only on our instructions, to provide their service to us:
- Fly.io for hosting. Our servers and data are in the United States (Chicago region).
- Google Firebase Cloud Messaging and the Apple Push Notification service for delivering notifications.
- Stripe for billing company owners. Card details go directly to Stripe.
- Intuit QuickBooks, only if the company owner connects their QuickBooks account. Then approved hours and job and customer names are sent to the owner's QuickBooks.
Legal reasons
We may disclose information if the law requires it, for example to comply with a valid court order, or when needed to protect the safety, rights or property of our users, the public or TradeOps.
Business transfers
If TradeOps LLC is merged, sold or reorganized, information may be transferred as part of that transaction, and this policy will continue to apply to it.
We don't sell personal information, and we don't share it for advertising.
7. How long we keep it
- Company records (time records, pay records, jobs and other business records) are kept while the company account is active.
- Your sign-in, phone number, device tokens and settings are erased right away when you delete your account in the app.
- Hours and pay records stay with your employer's company records after you delete your account, with your name on them, because employers are legally required to keep them (for example, under US payroll record-keeping rules).
- Closed companies: when an owner closes a company, all of its records are permanently deleted within 30 days.
- Backups: we take a backup snapshot every day and keep each one for 5 days. Deleted information can remain in a backup for up to 5 more days, until that backup expires.
- Server logs are kept only as long as needed for security and troubleshooting.
8. Deleting your account or closing a company
Deleting your account
In the app, go to More → Delete my account. You can also ask by email, as explained on our account deletion page. Deleting your account erases your sign-in, phone number, device tokens and settings right away. Your name stays on the hours and pay records that your employer is legally required to keep. Those records remain part of your employer's company records.
Closing a company
A company owner who is the company's only owner closes the company instead of deleting their account. Download a backup first (Settings → Download backup). When the company is closed, it is locked immediately and all of its records are permanently deleted within 30 days.
By email
You can also email support@clockbelt.com with your company code and username. We handle email requests within 30 days.
9. Security
- All connections use HTTPS, so information is encrypted in transit.
- Data is stored on encrypted disks with Fly.io in the United States.
- PINs are stored only as salted scrypt hashes.
- Backup snapshots are taken daily and kept for 5 days.
- Inside a company, what each person can see depends on their role.
No system is perfectly secure. Keep your PIN private, and tell us right away at support@clockbelt.com if you think someone has used your account.
10. Children
ClockBelt is not directed to children under 13, and we don't knowingly collect personal information from children under 13. Minors may use ClockBelt only as employees of a business that uses it, under that employer's responsibility. If you believe a child under 13 has an account, contact us and we will delete it.
11. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you;
- correct it if it's wrong;
- ask us to delete it.
To make a request, email support@clockbelt.com. Include your company code and username so we can find your records. Never send your PIN. We may need to confirm that the request really comes from you, and we respond within 30 days.
Because your employer is responsible for your work records, we may involve your employer in the request. Hours and pay records that an employer must keep by law may be kept even after a deletion request, as described in section 7.
California and other US states
Residents of California and some other states have the rights listed above, and the right not to be treated differently for using them. We do not sell personal information or "share" it for cross-context behavioral advertising, as those terms are defined by California law, and we have not done so in the past 12 months. We use precise location only to record where a punch happened, not to infer anything else about you. You may use an authorized agent to make a request; we may ask for proof that the agent is allowed to act for you.
12. Changes to this policy
We may update this policy as ClockBelt changes. We'll post the new version on this page with a new "Last updated" date. If a change is significant, we'll also give notice in the app or on our website before it takes effect.
